Program Associate, Volunteer Services

Responsibilities

The Volunteer Services Program Associate serves the Volunteer Services Department and is under the Volunteer Program Coordinator. Responsibilities of the role will include:

Coordinates volunteer recruitment and intake processes; responds to inquiries; schedules and conducts prospect interviews; arranges for volunteer placement and training; maintains application and orientation materials.

Maintains volunteer database. Ensures volunteer hours are recorded accurately. Produces basic reports.

Coordinates Volunteer Services Department programs and events: prepares work orders and attends regular planning meetings, monitors program expenses. Recruits volunteer assistance for museum and public events.

Supports the Volunteer Services Advisory Council by assisting with meeting scheduling, work orders, and calendar preparation. Serves as staff representative to committees.

Facilitates volunteer communication and assists in administering perks. Prepares routine correspondence, acknowledgements, and monthly birthday mail-out. Distributes ID badges.

Researches and prepares expenditure requests; secures purchase orders; prepares receiving reports. Distributes mail within department.


Qualifications

High school diploma or equivalency and four years of related work experience.

(Note: or a combination of post high education and experience equal to four years.)

Experience demonstrating effective customer service skills.

Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.

Experience with applicable computer applications to include working with databases and software such as MS Office.

Ability to learn systems such as Volgistics.

Experience with office practices, procedures, and etiquette.

Ability to communicate effectively verbally and in writing.


Preferred

Bachelor's degree and two years experience in Volunteer coordination.

Experience with Volgistics.

Anticipated Salary Range

Anticipated salary range of up to $30,000 per year + Florida state benefits available.

Pay Plan

This is an USPS (University Support Personnel System) position.


Schedule

While the primary working hours for this position are between 8:00 am - 5:00 pm, Monday - Friday, the incumbent may be required to work evenings, weekends, special events, or holidays based on the needs of the Ringling.


Criminal Background Check

This position requires successful completion of a criminal history background check, to include fingerprinting. The background check will be conducted as authorized and in accordance with University Policy 4-OP-C-7-B11.
