School Business Analyst

The School Business Analyst (hereafter referred to as “SBA”) for a fast growing charter management organization with several unique operational lines. The SBA will support the business office in improving operating systems and creating actionable reports that will improve decision making by the administrators and directors served. This support includes regular interactions and meetings with staff in a management role. His/her key responsibilities will initially include the following as the infrastructure is being built out:
 
  • Assisting with the set-up of operating systems (e.g. accounting, payroll, time & labor, procurement, receivable, etc.) for all organizations. This includes the review of coding and cost allocations.
  • Releasing funds (e.g. payroll, procurement, etc.) after reviewing the transactions from the administrators and business office personnel for accuracy.
  • Monitoring the spending obligations (e.g. Local Control Accountability Plan, Title funds, proposition 20 lottery funds, grants, etc.) and generating reports to state and federal agencies of all entities.
  • Identifying spending patterns and trends of the separate Local Educational Agencies (also known as “LEAs” or “Schools”), divisions, programs, business units, etc. to test feasibility and long-term sustainability.
 
ESSENTIAL RESPONSIBILITIES

Set-up operating systems to improve data, compliance and productivity. Responsibilities include:
  • Review coding in order to enhance data for actionable decision making
  • Create educational tools for the staff on updated policies and procedures
  • Provide staff assistance on the policy and procedural changes as they occur

Release funds after reviewing transactions and audit trails for financial accuracy.
  • Within Concur, review processed payments after they have been authorized by the manager / director / administrator
  • Within Paycom, review the payroll register against the labor reports and calculations

Track spending for the organizations obligations.
  • Track restricted funding sources (e.g. Title funds)
  • Monitor results and spending activities within the LCAP
  • Submit reimbursements for certain activities (e.g. mental health, MAA)
  • Create and provide monthly reports that updates the spending status

Implement best practices, policies and procedures recommended by authorities like FCMAT within the organization’s culture and operating systems. Those recommendations can be from following sources:
  • Charter School Accounting and Best Practices Manual
  • Associated Student Body Accounting Manual, Fraud Prevention Guide and Desk Reference

Create redundant calculations in Excel to test the accuracy of system generated reports to reduce errors and malfeasance. This is the foundation of work papers for system generated reports.

Provide general accounting duties, which include:
  • General ledger review
  • Periodic internal transactions (e.g. accruals) and postings
  • Assisting with the year-end financial audit
  • Creating schedules to properly track balance sheet accounts (e.g. accounts receivable)

Provide general analyst duties, which include:
  • Assist with the development of monthly financial reports and periodic updates to the Board
  • Research the industry to find key performance indicators and benchmarks in order to generate a performance report card for all business lines
  • Applying data to identify potential opportunities for operational efficiencies
  • Generating multi-year financial projections
  • Perform cost / benefit analysis to assist administrators with decision making

Assist the business office with everyday tasks:
  • Operating system troubleshooting
  • Providing data to back office and the district overseers
  • Preparing calculations and reports to CMO staff
  • Assisting with legal and compliance issues

This job operates in a professional office environment, is largely sedentary, and utilizes typical office equipment (computers, phones, photocopiers, etc.). Normal business hours are 8:00am – 5:00pm, Monday-Friday (although these hours may vary and may require occasional evening and weekend work based on organizational needs). Minimal or no travel required, other than visits to local school sites (as needed).
 
QUALIFICATIONS
*     Bachelor’s degree required (preference in business economics, mathematics, statistics and engineering)
*     CPA or CMA candidates preferred
*     Desire to become a business generalist
*     Passionate about making a difference in education
*     Proficiency in Excel preferred
*     Must be able to pass a TB test and background check at time of offer

COMPENSATION
Compensation will fall within a range of $50,000- $75,000, commensurate with experience. We offer a comprehensive benefits plan, including (but not limited to):
