Summary of Position:  
The New Business Coordinator is responsible for assisting the New Business Development team in new business efforts including coordinating with suppliers and clients on execution of marketing campaigns, conducting client research, prospective client preparation and marketing support. The ideal candidate for this role is an independent worker but with a team player mindset, enthusiastic, and an energetic approach. The New Business Coordinator manages the operations behind the scenes of the New Business Development team, freeing them up to close new opportunities. The essential duties and responsibilities include the following.
Key Responsibilities and Attributes:
  • Support of Non-Retainer Client Accounts
  • Compile vendor estimates and update cost elements in pepconnect
  • Generate program timelines
  • Generate and/or update coupon redemption reports
  • Assist teammates with the file closure process
  • Attend kick off / alignment meeting calls and provide recaps
  • Assist team on large-scale initiatives
  • Act as a backup when the main contact for a program is out of the office
  • Assist with vendor POs and billing as needed
  • Ensure all program information is up to date in pepconnect
  • Communicate with clients and vendors, as directed
  • New Business Development Support
  • Coordinate monthly sales team meeting including scheduling, agenda, reports, and research
  • Maintain prospective client database
  • Manage NBD team activity reports and tracking
  • Assist with proposal tracking and maintain centralized archive of submitted proposals
  • Support NBD team with presentations and activity tracking
  • Lead and compile research on current and prospective clients
  • Marketing Support
  • Manage website and social media updates with direction from New Business Development Team
  • Manage marketing budget and coordinate trade show and seminar participation
  • Establish and maintain a centralized archive of presentations, marketing materials (case studies) and communications that is accessible to various functional groups internally
  • General Responsibilities
  • Create and maintain internal documents
  • Manage supplier registration database and company awards
  • Assist with travel arrangements as needed
  • Assist with coordinating client events
  • Other duties assigned as needed

  • Preferred, but not required: Bachelors in Business or Communication a 2.8+ GPA from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience. 
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals as well as operate internal, online systems
  • Ability to write routine reports and correspondence
  • Ability to be client facing
  • Ability to mentor, grow and work harmoniously as part of a larger team
  • Ability to do intermediate-level math (calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages)
  • Ability to apply common-sense understanding to carry out instructions furnished in written, oral or diagram form
  • Ability to problem solve
  • Effectively utilizes staff including delegating as appropriate
  • Ability to manage healthy business processes
  • To perform this job successfully, an individual should have experience in Microsoft Outlook, Word and Excel. Proficiency is Powerpoint is also necessary. Add web-site maintenance and management skills. Typing skills should be a minimum of 55 wpm
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
