Project Coordinator / Executive Assistant

In this role, you will provide project management and executive level administrative support for an Executive Vice President with broad ranging leadership obligations, including oversight of Verisk’s People Leadership & Culture and global affairs. In this role, you’ll develop and maintain project plans, oversee projects’ day-to-day tasks and schedules while managing resources and internal staff expectations. You’ll establish necessary contingency plans, adapt to ever-changing priorities, work with internal and external stakeholders and assure milestone dates are being met. The successful candidate will think globally and use solid judgment. You’ll work well under pressure with limited supervision and under time constraints. You’ll also be responsible for the management of advanced, diversified, and complex executive assistant support duties of a confidential and sensitive nature.

This position is based in our Jersey City, NJ office, conveniently located across the street from the Newport path station. Just one stop from Christopher Street, we’re an easy 10-minute commute from lower Manhattan (and about 20 minutes from Brooklyn).

Responsibilities:
  • Coordinate global Town Hall meetings involving all stages of planning and execution including logistics (whether in person, via telepresence or conference calls), document and agenda preparation, conference rooms, AV needs, mitigating issues, and partnering with various departments to bring together best-in-class execution of events while collaborating on and contributing to developing overall event experience.
  • Take ownership and maintain a comprehensive view of a plethora of projects simultaneously and ensure on-time delivery of top-quality work.
  • Conduct research, gather and analyze information from multiple sources, applications, databases, etc. to create executive level MS Excel reports and PowerPoint presentations.
  • Extensive calendar management, complex domestic and international travel planning, meeting coordination, expense report preparation and close interaction with other C-level executives.

Qualifications

  • Bachelor’s degree required
  • Ability to own multiple projects simultaneously with a strong understanding of prioritization and timing of deliverables
  • Flawless skills managing complex calendars across different time zones as well as Concur travel and expense programs, for global multi-currency travel
  • Familiarity with a dynamic and fast-paced global company’s operating rhythm and processes (technology, media or B2B services business preferred)
  • Highly proficient in MS Office (Word, Excel, Outlook and PowerPoint) as well as other web-based programs, and video conferencing
  • Agility, attention to detail, refined sense of accuracy and excellent business judgment required in all endeavors
  • Balanced with a consummate sense of professionalism. Must be an exemplary representative of the company in all dealings with internal management/staff and external customers and partners
  • Executive presence, maturity and judgment, and sound decision-making in order to communicate on an executive level and the ability to operate with discretion and diplomacy in handling confidential matters
  • Tenacious and credible with the ability to influence all levels of the organization
  • High level of motivation, integrity, self-confidence and the ability to take initiative; collaborative team player with proactive approach in establishing and maintaining strong working relationships with other executive administrative assistants across Verisk
  • Ability to work with pace, good humor and independence
