Program Administrator

The Associated Colleges of the Midwest (ACM), a consortium of 14 liberal arts colleges, seeks a full-time, tech-savvy, efficient entry-level Program Administrator, based in the downtown Chicago office. If you have strong project management, communication, and research and data skills, this job is perfect for you. With a variety of duties, projects, and programs to work on, you will be able to use multiple skill-sets and gain experience in a collaborative setting.

The Program Administrator reports to the Chief of Staff and works closely with other members of the ACM staff and community.

Primary Responsibilities: 
The Program Administrator
·      provides administrative, logistic, and event planning support to the office on a variety of programs, activities, and initiatives;
·      writes general communications, creates social media campaigns, and continually updates the website; and
·      works with the Vice President for Finance, Administration, and Planning on quantitative data research and collection, analysis, and dissemination.

The general responsibilities associated with this role are divided into three categories: administrative, communications, and research and data.

Examples of administrative responsibilities:
·      Ensure the timely and effective development and implementation of faculty development projects.
·      Coordinate all phases of the projects and serve as the main point of contact for participating campus colleagues.
·      Update the Vice President for Faculty Development and Grant Programs on all program and grant-related tasks that require attention.
·      Support and/or lead the planning and execution of all logistics for grant-related meetings, workshops, and conferences; coordinate with partner hotels, restaurants, and other service providers to ensure a high level of hospitality to ACM guests; process and track participant reimbursements and vendor payments and monitor expenditures to operate within approved program budgets.
  • Track grant-related activities and spending.
  • Coordinate video, audio, or in-person meetings for consortial groups and grant-related Steering and Selection Committees.
  • Assist in the preparation of reports on grant-funded projects.
  • Attend various grant-funded workshops and events in administrative role to manage and/or assist in coordinating the event operations.


Examples of communication responsibilities:
·      Serve as the primary content creator and manager of ACM’s social media channels (Facebook, Twitter, Instagram).
·      Create and update pages, content, and photos on the ACM website.
·      Conduct interviews for feature articles/e-mail profiles.
·      Continually update contacts, listservs, and other databases.

Examples of research and data responsibilities:
·      Design and administer surveys and data collection instruments to select administrators.
·      Compile and clean quantitative data sets and perform descriptive statistical analysis.
·      Prepare reports on various metrics for select administrators and strategic partners.
·      Design and develop data dashboards using Microsoft Power BI for the ACM Exchange initiative.
 
Qualifications:
  • Bachelor’s degree or equivalent 3-5 years of experience.
  • Must be able to work independently and collaboratively in tracking and managing complex projects; must demonstrate excellent organizational, writing, editing, and communication skills.
  • Knowledge of the Microsoft Office suite of applications, with demonstrated experience in creating and manipulating Excel databases. Experience and/or familiarity with SharePoint, Microsoft Teams, and Salesforce is desirable.
  • Expertise in data visualization, including demonstrated experience with data visualization packages (e.g. Microsoft Power BI, Qualtrics, Tableau, etc.).
  • Demonstrated experience in survey design, and data collection and analytics packages (e.g. Qualtrics, Survey Monkey, Salesforce, etc.).
  • Exercise a high level of confidentiality and discretion with sensitive data sets.
  • Demonstrate scrupulous attention to detail and deadlines and an ability to handle multiple complex activities.
  • Excellent oral and written communication skills across all mediums, including web/e-mail/print/social media.
  • Strong understanding of social media management and familiarity with various platforms (Facebook, Instagram, Twitter, etc.).
  • Experience with web content development.
  • Strong initiative and a resourceful approach to problem-solving.
  • Must be able to “manage up” to work with a team of colleagues on projects and should have the capacity to engage voluntary collaboration from project participants on campuses.
  • Comfortable coordinating activities, events, and people.
  • Have an even temperament and be diplomatic, while getting results.
  • Ability to work in an open office setting.
  • Must be able to work occasional nights and/or weekends.
  • Possess a valid driver’s license and the ability to operate a motor vehicle
  • The ideal candidate will have experience working in higher education; understand the learning, teaching, and collaboration that occur at small liberal arts colleges; and be able to communicate well with faculty and other educational leaders.
