Job Summary: Executive Assistant to the CEO and the Senior Management Team, and support office operations.
Full-time, work in Torrey Pines, San Diego office.

Required:
·     Bachelor’s degree, computer science/business administration/biology degrees are preferred
·     Time management skills
·     The ability to manage a list of tasks and follow through each task to its completion
·      Strong Computer Software/Apps skills: Microsoft Office, Adobe, Zoom, Slack, DocuSign, G-suite, Google Calendar, Outlook, Dropbox.
·      Willingness to learn new skills.
·      Highly organized with strong attention to detail, follow-up, and prioritization skills
·      Flexibility to respond in a variety of time periods/across multiple time zones
·      ‘Do what it takes’/ hands-on approach
·      Self-directed enthusiasm to thrive in a dynamic, fast-paced "start-up" environment
·      Excellent interpersonal skills, history of working well with all levels of internal staff and outside parties.
·      Able to create solutions and shows a results-oriented focus.
·      Reliable, proactive, takes initiative, and anticipates needs.
·      Excellent written and verbal communication skills
Preferred:
·     Experience in a Biotech or a start-up environment.
·     Project management experience
 
Roles and Responsibilities
·     Manage calendaring, email shadowing, and proactively prioritize milestones, commitments & deadlines.
·     Assist with all preparations for meetings, conference/video calls.
·     Manage and monitor CEO meetings, providing timely reminders and assistance as appropriate.
·     Communicate regularly with the senior management team throughout the day on schedule changes and priorities.
·     Schedule travel itineraries and coordinate related arrangements.
·     Coordinate, plan, and organize company events, including all-hands meetings and offsite gatherings.
·     Assist with onboarding/welcoming new team members, and team members from other sites.
·     Daily administrative office needs.
·     Company Phone Calls (official company number only).
·     Managing Post (sending, collecting, and distributing) and parcels (receiving and sending).
·     Additional miscellaneous tasks as required for the success and growth of the business and the team.
·     Handle expenses filing and office purchases
