Operations Manager (@ Reflo Sustainable Water Solutions)

We are looking for a full-time operations manager to help pull together the many details of our complex and growing organization. The position will spend the majority of their time focusing on internal details and managing team schedules, deliverables, and objectives. Additionally, the position will require some support of outward facing activities, including organizing meetings and events and interfacing with project partners and donors.

Duties and Responsibilities:
  • Financial Management and Fund Development
  • Supports fund development initiatives with outreach, networking, follow-up, and events
  • Interfaces with donor management systems, tracking donations, sending follow-ups, and keeping records up to date
  • Supports and develops accounting procedures
  • Conducts/supports purchasing for programs and office needs
  • Oversees monthly bills, payments, credit card statements, and reconciliation
  • Prepares, sends, tracks and follows up with invoices
  • Tracks and supports grant/project deliverables and timelines
  • Program and Project Support
  • Develops monthly, quarterly, and annual programmatic and organizational reports
  • Develops and obtains content from staff for fundraising, general communication, and reporting efforts
  • Supports other colleagues’ projects and programming
  • Coordinates volunteer and support staff
  • Coordinates press, partners, and attendees at large and small events
  • Schedules meetings, takes detailed notes, follows up as appropriate, and maintains calendars for Board, committees, staff, and project meetings
  • Critically reviews on a regular basis with the executive director programmatic objectives and helps to determine next steps
  • Office Support
  • Works closely with the executive director and Reflo team to set, assess, and deliver programming, organization, and financial goals
  • Coordinates office, workshop, internal and external meetings, and large and small events
  • Manages/coordinates online profiles, social media, and website
  • Completes organizational forms and reviews portions of deliverables and reports
  • Responds to and coordinates general phone and email inquiries
  • Periodically represents Reflo at external meetings and events
  • Manages and organizes digital and physical files
  • Supports virtual newsletters and contact with volunteers, donors, and partners
  • Maintains records of time, grants and fundraising, purchasing, maintenance, and property
  • Maintains office, workshop, storage, and project equipment and supplies
  • Maintains current software, licenses, and subscriptions
  • Assures the executive director is informed on all matters of relative importance
  • Supports the development and management of employee benefits
  • Ensure day-to-day aspects of business operations are implemented with fidelity
  • Maintains and updates policies and procedures
  • Periodically attends board and board committee meetings and supports board member engagement
  • Performs other duties as assigned

Qualifications:
  • 3+ years of professional experience managing work products, schedules and small teams of independent professionals
  • Proficiency in Google Suite, Mailchimp, donor database management software, other organizational tools, and ideally Adobe InDesign
  • Experience in a nonprofit setting preferred, but not required
  • Spanish fluency preferred, but not required

  • Enthusiasm for Reflo’s mission and a desire to support community-based water projects
  • Expert ability to plan and manage complex details and timelines
  • A high attention to detail and ability to review others’ work for accuracy to maintain high-quality deliverables and successful communication
  • Strong organizing and coordination skills including time management, scheduling, and detailed follow-up procedures for oneself and others
  • Strong interpersonal communication skills with the ability to work effectively within our small nonprofit team as well as diverse groups of project partners and stakeholders
  • A willingness to be flexible and adapt to a growing nonprofit’s needs
  • Excellent written and verbal communication skills with the ability to represent Reflo in a professional and appropriate manner, internally and externally
  • Ability to take direction and work independently, with the self-knowledge to ask for assistance when needed
  • Ability to communicate effectively with diverse project stakeholders and demonstrate cultural competence
  • Excellent writing and communication skills
  • A high sense of self-motivation
  • Ability to participate in evening and weekend activities, as needed (fairly rare, 1-2 times a month, with significant advanced notice)
  • Ability to work in a small team setting with varying degrees of supervision
  • Ability to maintain a valid Wisconsin driver’s license, regular use of a car, current auto insurance, and the ability to travel throughout the Milwaukee area

Compensation:
  • $45,000+ / year based on experience
  • 10 days of paid vacation, and 8 paid holidays
  • Ability to negotiate a flexible schedule
