Recruiting and Logistics Coordinator

The W. P. Carey School of Business Career Management and Employer Engagement (CMEE) team is seeking an energetic and self-motivated individual to work within the Operations unit. This development role is a great opportunity for those interested in starting their career in the business of talent. The core element of this position is focused on facilitating access between students and alumni seeking career opportunities, and employer partners hiring for business-related roles. The team’s value-added approach focuses on helping companies navigate the complex university landscape to fulfill talent needs ideally with students and alumni from our business degree programs and to build their on-campus employment brand within the W. The Recruiting and Logistics Coordinator (RLC) is an entry-level role, responsible for implementing recruitment and engagement strategies, serving as the primary point of contact for all on-campus functions that our employer partners come to campus to execute on. Ability to provide excellent customer service and administrative support through email, phone, and in-person communications is a significant part of this position. The role has a client orientation and the successful candidate will get a chance to grow while supporting a diverse set of stakeholders by responding in a knowledgeable, professional, and timely manner to questions and inquiries on behalf of W. P. Carey and the CMEE team. 

The RLC plays an essential role on the operations team, reporting to the Assistant Director of Operations and working in close collaboration with our employer and career coaching teams. Other internal and external-facing stakeholders across ASU include faculty, staff leaders and student-led organizations as partners in our work. The ideal candidate has exemplary communication skills; has ability to work independently as well as collaboratively and seek appropriate assistance from their manager; is prompt with follow-through; takes initiative; has high attention to detail; is proficient in technology; is knowledgeable of recruiting best practices; and is committed to fostering an inclusive environment. 

This position is on-campus and scheduled hours Monday through Friday, with occasional extended hours, including early mornings, evenings and/or weekends.

Essential Duties
  • Manages multiple recruiting functions including vetting employer hiring and engagement needs, developing and implementing communication strategies, and coordinating logistics for on-campus events and programming
  • Extensively utilizes computer-based recruiting management systems to manage employer accounts, internship and job postings, applicant tracking, interview scheduling, and to provide real-time data to students and recruiters; all on a strict daily timeline 
  • Coordinates individual company presentations and multi-company networking events arranging timelines, catering, and location details with employers, ensuring there is no overlap, and promoting confirmed activities to career coaching team
  • Responsible for communication flow between CMEE team, employers, faculty, staff, and students to ensure that the intersection of student and employer engagement is a high-value and high-impact experience
  • Works in collaboration with the employer-facing team to learn best practices in the business of talent and how that is operationalized at W. P. Carey for existing, developing, and new recruiting partners 
  • Executes strategic communication plans throughout the annual planning cycle, working in collaboration with the operations team to implement consistent business processes and policies maintaining standard levels of service, as well as compliance with legal and ethical guidelines 
  • Accurately tracks and maintains data through recruiting management systems specific to employment outcomes, employer satisfaction, and student engagement for weekly, monthly and annual reporting
  • Works in collaboration with career coaching team to understand student profiles, degree programs, and career navigation programming for the populations CMEE serves 
  • Assists with marketing, budgeting, website administration, supervision of student workers, and administrative duties as required

Minimum Qualifications
Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications
  • Evidence of a Bachelor’s degree in business, communications, public relations, human resources, and/or related area
  • Experience in relationship management working with internal and external clients, such as employers, alumni, faculty, and students
  • Experience with Handshake, Microsoft office applications (i.e. Outlook, Word, Excel, Access, PowerPoint), and CRM tools 
  • Experience planning and/or implementing detail-oriented projects as part of event plans
  • Experience in being organized and prioritizing multiple tasks in a fast-paced and client-oriented environment
  • Demonstrated knowledge of a client-focused and problem-solving approach to working with colleagues
  • Experience in successfully adapting and engaging in change management environment with critical thinking competences
  • Experience working in higher education, human resources, recruiting, marketing, and/or communications 
  • Experience representing a unit/department to an external university/corporate setting
  • Experience in successfully adapting and engaging in change management environment with critical thinking competences

Working Environment
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse
  • Required to stand for varying lengths of time and walk moderate distances to perform work
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds 
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts 
  • Communicate to perform essential functions
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals 
  • Scheduled hours Monday through Friday, with occasional extended hours, including early mornings, evenings and/or weekends.
