Job Summary:
Cathedral Center is an agency serving women and families with children experiencing homelessness and housing crisis. Our mission is to provide a safe environment for women and families, while working to end homelessness one life at a time.

The Volunteer and Development Coordinator is responsible for management of the volunteer program, in-kind donations, facilitating, and participating in external community partnerships, and supporting resource development activities to raise funds for and awareness of Cathedral Center’s mission. This position is responsible for the recruitment, training, appreciation, retention, and tracking/reporting of all volunteers. This includes ensuring appropriate staff supervision of volunteers within all programs at both the Cathedral Center and Friendship House sites. This position also facilitates and manages third party events and speaking engagements of CCI staff in the community. The Volunteer and Development Coordinator interacts daily with community partners, donors, volunteers, shelter guests, and staff. The hours are first and second shift, with weekend hours as required to meet the needs of the agency. This position is fast-paced, and no two days are alike.

Job Duties: 
The following are key responsibilities of the Volunteer and Development Coordinator and serve to positively impact Cathedral Center’s relationships with current and potential volunteers and donors through increased contact and consistent support. Additional duties may be assigned to ensure effective teamwork within Cathedral Center:

Volunteer Program Coordination (80% of time, on average): Manage volunteer program that engages and mobilizes an average of 1500 volunteers annually, including weekly/ongoing positions, nightly Hospitality Meal Program, student interns and service-learning placements, corporate volunteer groups, faith and community groups, special events, and project groups.

  • Maintain and grow volunteer base through outreach to individuals, community-based organizations and groups, colleges/universities, and corporations as needed.
  • Maintain Volunteer Program manual and related standards to ensure best practices are implemented.
  • Coordinate recruitment, agency orientation, and placement of all new volunteers
  • Facilitate training for new volunteers or coordinate training under designated supervisor for the volunteer position
  • Oversee regular satisfaction surveys and annual review process for ongoing volunteers
  • Manage special project volunteers, working in partnership with designated staff members
  • Manage volunteer run meal program with collaboration with Shelter Director to provide evening meal to shelter guests 365 days a year.
  • Support staff in maintaining an active role in volunteer engagement and supervision, providing initial and ongoing training.
  • Maintain electronic volunteer database and provide Volunteer Program dashboard monthly.
  • Develop and implement ongoing volunteer education and appreciation activities.
  • Engage in ongoing needs assessment process with leadership and program team to identify needs, recruit, and implement resources including volunteers and in kind.
  • Ensure partnership with program leadership to meet ongoing and urgent program needs.
  • Be available during peak evening volunteer times to engage one-on-one with volunteers, greet them upon arrival, and troubleshoot their needs.
  • Engage in regular communication with volunteers through emails, phone calls, weekly updates, and development of monthly newsletters.
  • Serve as liaison to school and university site coordinators for intern and service-learning placements
  • Serve as liaison between Staff and Volunteers.
  • Serve as primarily liaison to United Way of Greater Milwaukee & Waukesha County for volunteer and in-kind engagements and Seasons of Caring; this includes regularly updating volunteer service opportunities in the Volunteer United portal.
  • Serve as liaison to Friends of Cathedral Center, providing staff support for activities and clear, consistent communications.
  • Maintain external volunteer service portals (United Way, Marquette University, etc.)
  • Ongoing volunteer recruitment, including attending agency fairs

Development Support (20% of time, on average):

  • Maintain a high level of awareness regarding community influencers serving as volunteers and promptly share engagements and insights with Director of Resource Development and Executive Director for enhanced cultivation
  • Build relationships to cultivate volunteers to become donors and introduce to Director of Resource Development and Executive Director, when appropriate
  • Promptly respond to community inquiries, to provide in-kind support or partnership, consulting with and including appropriate staff as well as re-directing to appropriate staff, when necessary
  • Manage all aspects of in-kind donations including receiving and resourcing requests from program directors, notifying the director of resource development of urgent and ongoing needs, tracking incoming donations (items and value), entering information into database, and ensuring appropriate donor acknowledgements are sent, as well as providing monthly reports for accounting and accountability.
  • Serve as primary contact and staff support for Third Party, or DIY events
  • Support fundraising and awareness activities, as requested.
  • Provide volunteer- and in-kind-related social media and newsletter content to the development team.
  • Support and ensure compliance with all agency polices and procedures, including ethical and best practices in support of department and agency goals.
  • Attend various fundraising or networking events on behalf of Cathedral Center.
  • Participate in community resource fairs/agency fairs and speaking opportunities/presentations on behalf of Cathedral Center
  • Serve as a United Way Speakers Bureau Representative

Skills and Qualifications:
The ideal candidate for the Volunteer and Development Coordinator position must be able to prioritize meeting urgent deadlines, focusing on short- and long-term agency goals while remaining true to Cathedral Center’s mission to provide a safe environment for women and families, while working to end homelessness – one life at a time. The ideal candidate will have earned a bachelor’s degree in Marketing, Communications, Business, social services or a related field. Bilingual candidates are strongly encouraged to apply. A valid Wisconsin driver license, with regular access to a reliable and insured vehicle is required. A familiarity with vulnerable populations is helpful.

  • Strong organizational, coordination and project management skills are required.
  • Strong written and verbal communication skills are required.
  • Strong ability to engage with and work with diverse groups of people, with a strong customer service perspective.
  • Demonstrated competence in using Microsoft Office (Word, Excel and Outlook) and donor database.
  • Intermediate knowledge of social media channels (Facebook, Twitter, LinkedIn, YouTube) is preferred.
  • Must be a comfortable and confident public speaker.
  • Candidate will possess a natural inclination or ability to motivate, inspire and coordinate people and resources to achieve goals to best serve the mission of Cathedral Center and the women and families it serves.

Attention to detail and ability to work effectively with the public and diverse, vulnerable populations in a respectful and dignified manner are critical qualities. Candidates must be able to sit, stand, stoop, and walk for extended periods of time, and be able to lift 15 pounds. All staff at Cathedral Center are expected to work effectively both independently and in a team environment, and to become familiar with and utilize a trauma-informed approach.
