Responsibilities

The Associate Registrar, Exhibitions coordinates and organizes all registrarial aspects for in-house and touring exhibitions for The Ringling including organizing and coordinating exhibition logistics; supporting the development of projects and their associated timelines; overseeing simultaneous exhibitions; the coordination of domestic and international loans; insurance; loan and exhibition contracts; art handling; and supervision of processes related to the transportation, cataloging, storage, and installation and de-installation of art objects.
  • Acts as Registration Project Manager for exhibition and collection-related projects assigned by the Senior Registrar. Works in tandem with assigned Prep Project Manager to complete all aspects of the exhibition to meet opening deadlines. This includes coordination of staff and contractors in the execution of tasks, providing logistical support in the movement of objects, and interfacing with external clients such as couriers, vendors, and contractors. Supports and oversees budget development for exhibition projects and assists the development of the Collections Department budget. Communicates regularly with the Senior Registrar to inform on the status of assigned projects and maintains inventory of exhibition supplies.
  • Works closely with curators, security, conservation, design, and preparators to develop exhibition timelines, project plans, and budgets in order to fulfill installation and de-installation needs for exhibitions, gallery rotations, conservation treatments, and security requirements.
  • Works with FSU legal counsel to develop and review loan and exhibition contracts. Processes all contracts and invoices related to exhibitions, loans, contractors, and shipments. Obtains and manages loan agreements for in-house exhibitions. Creates and maintains accurate exhibition and loan files in TMS (The Museum System) database, including: legal documentation; object checklists; design files; installation requirements; exhibition budgets; and pertinent correspondence with lenders. Maintains and updates museum Facility Reports, as necessary. Responsible for their submission to lenders and venues to complete loan and exhibition requirements.
  • Coordinates and organizes all registrarial aspects for in-house and touring exhibitions as assigned by the Senior Registrar. Organizes and updates the exhibition schedule, as necessary. Locates and examines works to be shown and coordinates conservation, transportation, and preparation of artwork. Oversees the installation of artwork with regard to its safe handling and display. Provides recommendations on appropriate security measures in conjunction with the conservation and security department. Coordinates all transit arrangements, insurance and/or domestic or international indemnity arrangements for traveling exhibitions. Generates loan-related documents, creates and implements schedules, executes condition reports, coordinates courier and installation logistics for traveling exhibitions. Provides supervision of packing/unpacking and installation/de-installation. Ensures exhibition contracts are adhered to at all times. Consults/collaborates with Prep staff on all exhibition lighting to ensure best possible conditions for collections items.
  • Monitors and maintains dataloggers in exhibition galleries and regularly reports on environmental conditions for all venues. In concert with conservation staff and makes recommendations for environmental adjustments. Monitors all traveling and in-house exhibition artwork for the duration of the exhibition and updates lenders as requested with climate readings. Monitors integrated pest management practices in all exhibition galleries and collaborates with conservation staff, when needed.
  • Collaborates with the Registration department to develop, update, and review collections procedures, plans, and policies including exhibition policies. Performs collections inventories and monitors internal movement of objects. Assists in training, working with, and supervising interns. Plans and implements projects for continuing internship program. Maintains education to keep up with current best practices and standards of the museum profession.
  • Implements and/or carries out emergency protective measures and maintenance of storage and gallery spaces. Communicates required emergency related notifications to lenders and other outside entities.
This role may be required to travel (nationally or internationally) to serve as a museum courier. Assignments are based on the needs of the Museum. Courier training and certification, provided by The Ringling, is required prior to the incumbent serving in this capacity.

Qualifications

  • A Bachelor's degree in Art, Art History, Museum Studies, Public History, or related field and four years of related experience or a combination of post high school education and related experience equal to eight years.
  • Experience in museum exhibitions and project management.
  • Knowledge of standard museum loan and registration practices including experience with loan documentation, shipment coordination, contract review, and fine arts insurance.
  • Knowledge of applicable computer applications, including Microsoft Word and Excel, and applications related to collections management databases.
  • Ability to communicate effectively verbally and in writing.
  • Ability to establish and maintain effective working relationships in a team-oriented environment.
  • Excellent organizational skills and ability to multitask to meet project deadlines.
  • Knowledge of art storage and display methods, techniques, and procedures.
  • Knowledge of the concepts, principles and practices of collections management to include proper handling, installation, preservation and/or maintenance.
  • Knowledge of and ability to apply the processes, procedures and methods used in museum operations in compliance with applicable governing entities such as the American Alliance of Museums.
  • Knowledge of the principles and practices of project planning, development, and evaluation.
  • A valid driver's license or ability to obtain prior to hire.
  • Ability to meet physical requirements as determined by position to include ability to stand for extended periods and lift up to 50 pounds, with or without a reasonable accommodation.

Preferred

  • Advanced knowledge of The Museum System (TMS).
  • Advance knowledge in coordinating exhibitions with international loans.

Anticipated Salary Range

Anticipated rate of pay will be no higher than $51,000 and the final amount will be determined based on the education, skills, and experience of the selected candidate. Please note that majority of applicants will be offered at midpoint of range. Find out more about our comprehensive benefits package under the "FSU Total Rewards" section.

Soft Money Funded Position

This is a soft money funded position, with renewal based on available funds and the needs of the University.

Schedule

Monday through Friday from 8:00 AM to 5:00 PM with a one hour meal period. 

Criminal Background Check

This position requires successful completion of a criminal history background check, to include fingerprinting. The background check will be conducted as authorized and in accordance with University Policy 4-OP-C-7-B11.
