Accounting & Membership Clerk

Wage Range     $24-$30 per hour depending on experience

 

Job Summary:

The Accounting & Membership Clerk processes financial transactions, compiles reports, and provides administrative support for the organization. The Accounting & Membership Clerk works with a high degree of accuracy and confidentiality and communicates clearly and professionally with internal and external stakeholders. The Accounting & Membership Clerk proactively maintains an office environment conducive to staff collaboration and effectiveness. The Accounting & Membership Clerk reports to the Deputy Director, with matrixed reporting and collaboration with the Engagement Team.

 

This job is a full-time position with excellent benefits and a great work environment. This position is 40 hours per week Monday – Friday in the office with occasional weekends and evenings at offsite events. 

 

Job Responsibilities:

  • Financial Transactions
  • Perform accounts payable functions using multiple payment platforms, code expenses, obtain approvals, maintain vendor documentation, and respond to vendor and payment inquiries.
  • Record accounts receivable payments and prepare and make bank deposits.
  • Process merchandise sales, record transactions, and ship orders.
  • Assist with document and data compilation for grant invoicing and other financial reports.
  • Process semi-weekly payroll, make payroll tax payments, and submit quarterly payroll reports.
  • Donation Processing & Engagement Team Support
  • Receive and record donations using multiple databases, create reports, and generate acknowledgement letters.
  • Update member entries in database, provide technical database support, and ensure donor database is accurate.
  • Compile and distribute donor activity to appropriate staff, generate reports, and assign follow up tasks.
  • Support event preparation and execution with printing, posting flyers, and staffing events.
  • Organizational Support
    • Assist with the maintenance of office machines, supplies, and general office needs.
    • Serve as the first point of communication from external parties by monitoring, responding, or forwarding incoming emails, calls, and drop ins.
    • Coordinate all-staff meetings and calendaring.
    • Stock the breakroom and office with supplies.
    • Other duties as assigned.

 

Required Job Knowledge, Skills, Ability & Experience:

  • Minimum of one year of administrative office experience and data entry.
  • Proficient with basic computer programs such as Microsoft Office (Outlook, Word, Teams, and Excel), smartphones, and web-based applications.
  • Excellent written and verbal communication skills and ability to interact effectively with partners, volunteers, and staff.
  • Familiarity with financial transactions and bank deposits.
  • Ability to learn new software applications and confirm your work is accurate.
  • Proficient in office tasks such as mail processing, supply inventory and ordering, and scheduling.
  • Experience in coordinating meetings and providing administrative assistance across departments.

Ability to work in an office environment which requires the ability to operate standard office equipment and keyboards. 

Preferred Job Knowledge, Skills, Ability & Experience:

  • Bachelor’s degree
  • 3-5 years of administrative office experience.
  • Payroll processing experience, including tax payments and reporting.
  • Ability to lift objects up to 20 pounds, walk short distances, and drive a vehicle.
  • Experience with transaction reconciliations and maintaining data accuracy.
  • Experience in accounts payable and receivable functions. Affinity for conservation of natural, agricultural, cultural, and open space resources and the role of land trusts in that effort.
