Corporate Coordinator

Cascadia works with public and private-sector clients to advance sustainability through recycling and materials management, climate change mitigation and adaptation, energy efficiency, pollution prevention, transportation demand management, and water and natural resources management. The Cascadia team brings both established expertise and creative thinking to research and analysis, strategic planning, program design and implementation, outreach, social marketing and behavior change, and evaluation roles. From our offices in Oakland (CA), Seattle (WA), and some remote employees, we serve clients across the country and abroad.

Position Overview: 

Cascadia Consulting Group is seeking a self-motivated and customer service oriented Corporate Coordinator for its headquarters in Seattle to support operations throughout its offices. The position will provide support and coverage for roles across the corporate team, specifically focusing 40% of the time on HR support, 40% on IT support, and 20% on Office Coordinator support.  

Examples of everyday tasks may include a combination of:  

40% HR Support:  

  • Onboarding and Offboarding. Maintaining tracking and schedules for new hire’s first week, new hire data entry, communication coordination support including new hire welcome gift, lunch and buddies, complete 3- and 6-month follow-up items, and maintaining equipment collection trackers.  
  • Talent Acquisition Coordination. Uses our applicant tracking system, Trakstar, to set-up new recruitments, advertises job announcements, calendaring, scheduling interviews, back-up support for entry-level reference calls and phone screens, and partners with Human Resources Manager and Human Resources Generalist to provide excellent customer service to hiring panels.  
  • HR Admin Support. Maintains records and compliance with applicable local and federal regulations, project coordination and communication: drafting communication, coordinating document versions and updating SharePoint, maintain the HR Inbox, manage various trackers including the buddy, spot bonus, and onboarding trackers, and HR team PTO back-up support. 

40% IT Support: 

  • Inventory Tracking. Managing digital assets and infrastructure such as laptops, computers, storage devices, and peripherals, ordering new equipment, and maintaining and upgrading existing hardware devices. Identifying hardware for donation or recycling. 
  • User Support. Troubleshooting technical and operational issues at the workplace and online meetings, providing technical support for computer systems and networks, troubleshooting hardware and software issues, responding to employee and service requests in a timely manner, and troubleshooting network connectivity issues. 
  • Onboarding and Training.  Install, configure, and maintain computer equipment for new hires, and provide onboarding, assistance and training to company employees.  
  • IT Admin Support. Simple account creation and updating and maintaining software and security patches. Carrying, moving, and set-up of desk spaces and conference rooms.  

20% Office Coordination Support: 

  • Reception Back-Up. When Office Coordinator is out or away from the office: reviews Cascadia’s voicemail and distributes messages, reviews admin email, greets office visitors and demonstrates a commitment to customer service and utilize active listening skills. Provide administrative support for new hires including initial office tour and scheduling onboarding activities. 
  • Event Support. Assist with organizing and executing special projects or events such as Cascadia’s annual holiday party, and ordering food and supplies for office celebrations and meetings, and support planning and facilitating in-person and virtual events, fostering a sense of camaraderie and team bonding, including occasional after-hours, offsite work events, team building gatherings, and community volunteering events. 
  • General Office Up-Keep. Ensure that the kitchen, supply rooms, and other open areas remain clean and fully stocked, support in the set-up and break-down of conference rooms in preparation for and following meetings. 

Qualifications:   

  • A demonstrated ability to successfully perform the above listed responsibilities typically includes: 
  • Understanding of, and commitment to, Cascadia’s mission to “inspire and empower communities everywhere to protect and restore our world” in an equitable and inclusive way.   
  • A four-year degree or a minimum of two years of customer service, HR, or administrative experience.  
  • Employs consistently grammatically correct, clear, and respectful verbal and written communication, including active listening and collaborative communication. 
  • Commitment to working both in teams and independently to advance common goals, think creatively, use sound judgement to resolve issues, and create high-quality, effective work products.   
  • Dedication to customer service excellence demonstrated through a proactive approach, attention to detail, and ability to foster positive relationships. 
  • Proficient with administrative and organizational tasks including using electronic database applications, organizing electronic files, and proficiency with Outlook and MS Office programs including Microsoft Word and Microsoft Excel. 
  • Ability to use discretion and sound judgement when provided with or using confidential information for work purposes.  
  • Utilizes time management strategies to balance workload, competing tasks and to meet deadlines.  
  • Knowledge of basic hardware and software components. 
  • Strong organizational skills with emphasis on detail, efficiency, and accuracy in administrative tasks.  
  • A valid driver’s license, this position will require driving occasionally for business purposes.

The experience and education typical to demonstrate this level of ability is a four-year degree in a related field (e.g., business administration) or at least 2 years of relevant experience of progressive responsibility. Initial placement and compensation offer is dependent on experience and demonstrated skills and abilities through the selection process and is typically not at the top of the range.  

Compensation and Benefits: 

This is a full-time, hourly, non-exempt, position, based in our Seattle office. Hourly rates are based on experience and competitive with jobs in the environmental sector; the anticipated hourly rate range for this position is $24.60 to $28.28 per hour. Note: Initial placement for this position is Range 1 on our corporate team, with placement and compensation offer dependent on experience and demonstrated skills and abilities through the selection process, and opportunity for advancement.
